We are seeking a highly organized, proactive, and people-focused individual to join our team as a Retail Operations People and Process Coordinator. This position plays a vital role in supporting day-to-day store operations, with a strong emphasis on employee coordination, scheduling, client communications, operational support and employee engagement. This position reports to the Store Director and is based in our NYC Flagship.
This is an ideal opportunity for someone with strong people operations and administrative skills who is passionate about team organization, communication, and creating a well-structured store environment. The ideal candidate is reliable, detail-oriented, and able to handle sensitive information with discretion while balancing multiple responsibilities in a fast-paced retail setting.
ESSENTIAL JOB RESPONSIBILITIES:
• Support boutique management with employee lifecycle processes, including onboarding, offboarding, and maintaining accurate employee documentation in alignment with Company standards.
• Coordinate and prepare onboarding and training materials for new hires; ensuring a seamless introduction to the brand’s culture, boutique operations, policies and procedures.
• Maintain accurate and up-to-date employee records, including time-off tracking, attendance, and scheduling updates, in close partnership with boutique management to support operational efficiency and compliance.
• Partner with boutique management on recruitment efforts for as needed.
• Assist in the coordination of team communication and help ensure key policy information and programs are shared and implemented appropriately.
• Act as a liaison between the store and corporate office, helping consolidate and send out internal updates and communications.
• Prepare and maintain weekly/monthly store staff schedules, ensuring optimal coverage that aligns with business needs. Communicate schedule updates with clarity and in a timely manner.
• Compile weekly business reporting and KPIs, track store data, and maintain shared drive folders and contact lists to support operational planning.
• Manage and maintain the client appointment calendar, ensuring appointments are scheduled accurately and timely. Proactively communicate updates to relevant team members to minimize disruptions.
• Answer boutique phone calls and direct inquiries to ensure a seamless client experience.
• Assist with supply orders, invoicing, store repairs, and vendor communication.
• Participate in store events and assist with special projects as needed.
• Ensure smooth day-to-day operational flow by supporting documentation, reporting, and scheduling processes.
QUALIFICATIONS
• Experience in retail administration, people operations, or a similar support role.
• Strong organizational and multitasking skills with high attention to detail.
• Proficient in Microsoft Office and comfortable with scheduling tools and reporting
• Effective communication skills, both written and verbal.
• Ability to handle sensitive information with discretion and maintain confidentiality.
• Comfortable working in a fast-paced, dynamic environment with cross-functional teams.
SALARY RANGE: $23.00-$25.00 per hour
